Job Title: Client Services Coordinator

Location: Hybrid, Iroquois Memorial Hospital (Hybrid position after trained with remote schedule at manager’s discretion and approval)

Hours:  Monday – Friday 8:00 AM – 5:00 PM

Salary Range: $19-$22 per hour  / depending on life, work, and educational experience.

Position Overview: The Client Services Coordinator works closely with our Regional Manager to provide support to our client facilities across the region. This coordinator supports the regional manager in data management, maintaining healthy relationships with clients, providing support to our providers, acting as a liaison with our billing company, and handling administrative and communication tasks on behalf of the Regional Manager.

Experience and Skills Needed:

  • Excellent communication skills (both written and oral), enabling effective interaction with team members and clients.
  • The ability to prioritize tasks and responsibilities efficiently, ensuring that all duties are managed effectively.
  • Strong organizational and planning abilities to keep projects on track and meet deadlines.
  • Proficiency in building effective relationships with Integritas and client hospital leadership, providers, and staff.
  • Effective time management skills to handle multiple tasks and responsibilities.
  • A quick learning ability and self-motivation to adapt to new challenges and environments.
  • Excellent computer skills, including a working knowledge of Microsoft Office products.
  • The capability to work well independently and within a team, fostering a collaborative work environment.
  • Exceptional data entry and data management skills to maintain accurate and organized records.
  • A High School Diploma or Equivalent.
  • A Valid Driver’s License.
  • Medical/clinical experience is preferred but not mandatory.

 

Key Responsibilities:

1.  Client Services

    • Build and maintain relationships with client facilities.
    • Support communication and information distribution.
    • Coordinate meetings and site tours.
    • Develop site access standards.
    • Prepare materials and presentations for meetings.

2.  Provider Relations

  • Monitor provider satisfaction and address issues.
  • Assist with EMR and IT issues.
  • Support provider contracting and onboarding.
  • Coordinate orientations and offboarding.
  • Relay important information to providers.

3.  Revenue Cycle Management (RCM) Liaison

  • Liaise between billing company and client.
  • Maintain remote access for RCM company.
  • Ensure timely uploads of patient demographics and charts.
  • Monitor reports and communicate issues.
  • Complete billing logs and review incomplete charts.

4.  Customer Relationship Management (CRM)

  • Update client and provider profiles.
  • Enter engagement notes and quality metrics.
  • Run and upload census reports.
  • Review PowerBi reports for data entry errors.

5.  Communication

  • Provide guidance on scheduling, credentialing, and operational needs.
  • Attend meetings and check in with nurses.
  • Conduct patient surveys.
  • Communicate with hospital coders, medical records, and funeral homes.
  • Update Regional Manager on work status.

6.  Administrative

  • Answer phones and direct calls.
  • Check faxes and collect mail.
  • Order supplies and assist with data collection.
  • Create and maintain SOPs.

7.  Participation

    • Attend daily operations meetings, all-team member training.
    • Engage in monthly coaching meetings.
    • Support and attend special events.
